Terms and Conditions

1. Introduction and Acceptance of Terms

Welcome to Picnic Pours. These Terms and Conditions (‘Terms’) govern your use of our website at picnicpours.com and your engagement with our mobile bar and event catering services. By accessing our website, submitting an inquiry, or booking our services, you agree to be bound by these Terms in full. If you do not agree, please refrain from using our website or services.

These Terms constitute a legally binding agreement between you (‘Client’) and Picnic Pours, a mobile bar and event catering business located at 4307 Upton Ave S, Minneapolis, MN 55410.

2. Services Overview

Picnic Pours provides mobile bar and event catering services for the following event types:

  • Weddings – Full-service mobile bar catering for ceremonies and receptions, including setup, bartending, mixers, ice, and breakdown.
  • Corporate Events – Mobile bar service brought directly to your office, event space, or off-site venue.
  • Private Events – Mobile bar experiences for birthday parties, anniversaries, reunions, and similar private gatherings.
  • General Events – Community, seasonal, and public-facing events requiring mobile bar catering support.

All services include professional bartenders, full bar setup, signature cocktails, mocktails, wine, beer, mixers, ice, and compostable serving materials unless otherwise specified in your service agreement.

3. The Vespa Bar

Picnic Pours operates a signature mobile bar unit — the Vespa Bar — which is deployed at events as part of our service. The Client is responsible for ensuring that:

  • The event venue has sufficient physical access for the Vespa Bar to be safely transported, positioned, and operated.
  • Any outdoor spaces are accessible and provide a stable, level surface for setup.
  • All required venue permits for mobile bar operation are secured by the Client prior to the event.

Picnic Pours reserves the right to adjust the placement or mode of operation of the Vespa Bar based on on-site conditions. We are not liable for limitations arising from venue access or infrastructure constraints.

4. Booking and Inquiry Process

All bookings begin with a formal inquiry submitted via our website contact form or by phone. Submitting an inquiry does not constitute a confirmed booking. A booking is only confirmed upon:

  • Receipt and review of all event details provided by the Client.
  • Issuance of a written quote or service agreement by Picnic Pours.
  • Payment of the required deposit as outlined in Section 5.

Quotes are valid for 14 days from the date of issuance. Picnic Pours reserves the right to decline any booking request at its sole discretion.

5. Deposits and Payments

A non-refundable deposit is required to secure your event date. The deposit amount will be specified in your service agreement. The remaining balance is due as outlined in the payment schedule included in your agreement.

Accepted payment methods will be communicated at the time of booking. Failure to complete payment by the agreed due date may result in cancellation of your booking without refund of the deposit.

6. Cancellation and Rescheduling Policy

Cancellations must be submitted in writing via email or phone. The following terms apply:

  • Cancellations made 30 or more days before the event date: deposit is forfeited; no additional charges apply.
  • Cancellations made within 15–29 days of the event: 50% of the total agreed service fee is due.
  • Cancellations made within 14 days of the event: 100% of the total agreed service fee is due.
  • Rescheduling requests are subject to availability and must be made at least 21 days in advance to avoid cancellation fees.

Picnic Pours is not responsible for cancellations or service disruptions caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, or government-mandated restrictions (force majeure).

7. Alcohol Service and Responsible Service

Picnic Pours takes the responsible service of alcohol seriously. Our bartenders are trained to comply with Minnesota alcohol service laws and regulations, including Minnesota Dram Shop Act provisions (Minn. Stat. § 340A.801).

  • All guests must be 21 years of age or older to be served alcohol. Valid government-issued photo ID may be requested at any time.
  • Our staff reserves the right to refuse alcohol service to any individual who appears intoxicated, is under the legal drinking age, or poses a safety risk.
  • The Client is responsible for communicating our alcohol service policies to their guests in advance of the event.

Picnic Pours does not provide or sell alcohol directly. The Client or their designated representative is responsible for obtaining and supplying all alcoholic beverages, unless otherwise agreed in the service contract. Our team handles pickup, transport, and return of alcohol as applicable to the agreed service scope.

8. Client Responsibilities

The Client agrees to:

  • Provide accurate and complete event details at the time of booking, including guest count, event type, venue address, and start/end times.
  • Obtain all necessary permits, licenses, and approvals required by the event venue and local authorities for mobile bar service.
  • Ensure safe and unobstructed access for our team and the Vespa Bar at the event venue.
  • Notify Picnic Pours of any changes to event details no later than 14 days before the event.

Picnic Pours is not liable for service limitations arising from inaccurate information provided by the Client.

9. Menu Customization

Picnic Pours offers customizable drink menus including signature cocktails, seasonal creations, mocktails, wine, and beer. Menu customization requests must be submitted at least 14 days prior to the event. While we make every effort to accommodate preferences, availability of specific ingredients is subject to change and cannot be guaranteed.

10. Compostable Materials and Sustainability

Picnic Pours is committed to environmentally responsible service. We use compostable cups, napkins, and serving materials where possible. We are not liable for any property damage, staining, or deterioration associated with the use of compostable or eco-friendly materials. Guests and Clients assume any associated risks.

11. Coordination with Third Parties

Picnic Pours frequently works alongside event planners, venue coordinators, photographers, caterers, and other vendors. While we make every effort to coordinate seamlessly, we are not responsible for the actions, omissions, or service failures of any third-party vendors. Our liability is limited strictly to the services we directly provide.

13. Limitation of Liability

To the fullest extent permitted by Minnesota law, Picnic Pours’ total liability to any Client for any claim arising out of or related to our services shall not exceed the total amount paid by the Client for those services. Picnic Pours is not liable for any indirect, incidental, special, or consequential damages of any kind.

14. Indemnification

The Client agrees to indemnify, defend, and hold harmless Picnic Pours, its owners, employees, and contractors from and against any claims, damages, losses, or expenses (including reasonable legal fees) arising out of: (a) the Client’s breach of these Terms; (b) inaccurate information provided by the Client; or (c) incidents attributable to the Client’s guests or the event venue.

15. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Minnesota, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts located in Hennepin County, Minnesota.

16. Changes to These Terms
